How your conversation is handled.

This describes how things actually work today, not an intention.

What we hold

The recording of your conversation as text, the document written from it, and the email addresses of the people allowed to open that document. Sign-in and hosting services also process technical information, such as IP addresses, session information and security logs.

Where it is stored

Your conversation text, your document and access records are stored with our database provider, currently in its Seoul, South Korea region. We plan to move this storage to Sydney, Australia. Data is protected in transit and at rest by the provider's standard encryption. They are not end-to-end encrypted, and our operators can read them in order to do the work.

Where your data is processed

Our database, file storage and sign-in accounts are currently hosted outside Australia (Seoul, South Korea), pending migration to Sydney. AI drafting is sent through our AI gateway, which routes requests to Google Gemini models, and gives no guarantee that processing stays in Australia. An Australian route (Amazon Bedrock in Sydney, ap-southeast-2) is built but not yet switched on; until it is, your conversation text and documents may be processed overseas. We disclose this under Australian Privacy Principle 8 (cross-border disclosure).

Where artificial intelligence is used

Writing the first version of your document uses a commercial AI model, accessed over the internet. Parts of your conversation text are sent to that provider for that purpose. Drafts are kept in the admin workspace. A document must be approved before it can be assigned to a customer.

How we use AI

AI drafts your plan only from your own recorded words. A person reviews every draft before anything is shared with you. Your data is never used to train AI models. Drafts are written by Google Gemini through a managed AI gateway, which does not guarantee where processing happens, so it may occur outside Australia. When it is switched on, Amazon Bedrock in its Sydney region is used instead. You can correct or withdraw any card at any time. The platform does not make decisions about people. An AI draft is only a starting point: Isaac Cohen, our organiser, reviews every draft before it is shared with you, and no draft is used to decide anything about you.

Who can read your document

You, anyone you were told would be given access, and our own operators. Access is granted one person at a time by email address, and can be withdrawn. Your document is not listed publicly and is not indexed by search engines.

What we do not claim

We do not claim anonymity: your name and your organisation appear in your own document. We do not claim end-to-end encryption of your conversation or your document, because that is not how they are stored. Private messaging and shared editing are not switched on today, so we make no claim about them at all.

Removal

You can download a copy of your own data at any time with the "Download my data" button on your preparation canvas. Contact your Project Dream State organiser to request correction, withdrawal of access or deletion. We will confirm what can be removed and explain any retention requirements, including backups.
